Privacy Policy

ModelSign ("we", "us", or "our") is a contract management platform built for professional photographers. We provide tools to create, send, and store photography contracts and model release forms online. Our contact email is modelsign@stvdios.co.

We collect the following categories of personal data:

• Account data: Your full name, email address, and password (hashed), provided when you register.
• Contract data: Contract titles, template type, contract text content, shoot dates, and shoot locations that you enter.
• Model data: The name, email address, digital signature, IP address, and government-issued ID photos submitted by models when signing a contract.
• Usage data: Basic analytics such as page visits and feature interactions, collected to improve the platform.
• Error diagnostics: For signed-in users, we record error category, time, generalized page, failed function name, status code, and account identifier to investigate reliability issues. These diagnostics are restricted to administrators and summarized in a private weekly owner report alongside account growth and contract-creation activity. They do not include contract content, identity documents, signing links, input values, or raw error messages.

• To operate your account and provide the Modelsign service.
• To generate, store, and deliver contracts to models via email.
• To record and store model signatures and ID documents as legal proof of consent.
• To send transactional emails (contract links, signing confirmations) to photographers and models.
• To improve and secure our platform.

We do not sell your personal data to third parties.

When a model signs a contract, they may optionally upload photos of a government-issued ID (front and back). These images are:

• Stored securely and accessible only to the photographer who created the contract and platform administrators.
• Used solely for age verification and identity confirmation purposes.
• Never shared with third parties, used for marketing, or sold.

Photographers are responsible for handling model ID data in compliance with applicable law, including data minimisation principles under GDPR and 18 U.S.C. § 2257 record-keeping requirements where applicable.

If you are in the European Economic Area, we process your data under the following legal bases:

• Contract performance: To provide the services you signed up for.
• Legitimate interests: To improve the platform and prevent fraud.
• Consent: For optional features where we ask for your permission.
• Legal obligation: Where we are required to retain records by law.

We retain your account and contract data for as long as your account is active. If you delete your account, we will delete or anonymise your personal data within 30 days, except where we are legally required to retain it (e.g. for compliance with record-keeping laws). Model submission records (signatures, IDs) are retained for a minimum of 7 years to satisfy legal obligations.

We use session cookies to keep you logged in, and basic analytics to understand how the platform is used. We do not use third-party advertising cookies. You can disable cookies in your browser settings, but this may affect functionality.

We use the following third-party services to operate Modelsign:

• Base44 — platform infrastructure, database, and authentication.
• Google OAuth — optional sign-in method (your Google profile name and email are used; no other Google data is accessed).
• Email delivery service — used to send contract links and confirmation emails to photographers and models.

You have the right to:

• Access the personal data we hold about you.
• Request correction of inaccurate data.
• Request deletion of your account and associated data.
• Object to processing or request restriction of processing.
• Data portability (receive your data in a structured format).

We implement industry-standard security measures including encrypted storage, access controls, and secure transmission (HTTPS). However, no system is completely secure — you use the platform at your own risk.

We may update this Privacy Policy from time to time. We will notify registered users of material changes by email. Continued use of Modelsign after changes constitutes acceptance.
